1. Introduction

Vantage Technologies LLC ("Company," "we," "us") operates the Vantage platform — a cloud-based hospitality management service. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data.

This policy applies to all users of the Vantage platform, including hotel administrators, valet staff, and guests who interact with the service via SMS or the guest tracking page.

2. Information We Collect

Account information: Name, email address, phone number, and role within your organization.

Guest information: Guest names, phone numbers, and vehicle information (make, model, color, license plate number) as entered by hotel staff during the valet process.

Vehicle photos: Walk-around photos of vehicles taken during check-in for damage documentation purposes.

Payment information: Payment transactions are processed by Paddle, our merchant of record. We do not store credit card numbers, CVVs, or full payment credentials on our servers. We retain transaction records (amounts, dates, and confirmation IDs).

Location data: Property addresses as provided during account setup. We do not track individual user GPS locations.

Usage data: Login timestamps, feature usage patterns, and browser/device information for service improvement and security monitoring.

3. How We Use Your Information

We use collected information to:

• Provide and operate the valet management service
• Process subscription payments through Paddle (our merchant of record)
• Send SMS messages to guests regarding their vehicle status (via Twilio)
• Analyze vehicle photos for damage documentation (via AI image analysis)
• Generate operational reports and analytics for hotel administrators
• Maintain security and prevent unauthorized access
• Improve the service based on usage patterns

4. Third-Party Services

We use the following third-party services to operate the platform:

• Paddle — Payment processing and merchant of record. Paddle handles all credit card data under PCI DSS Level 1 compliant infrastructure and acts as the seller of record for our subscriptions, handling tax collection and remittance. Paddle Privacy Policy
• Twilio — SMS messaging for guest communication. Phone numbers are shared with Twilio to deliver text messages. Twilio Privacy Policy
• Cloudflare — Hosting, CDN, and DDoS protection. Cloudflare Privacy Policy
• AI Processing Provider — Vehicle photo analysis for damage detection. Photos are sent to our AI provider's API for processing but are not stored or used for training.

We do not sell, rent, or share your data with advertisers or data brokers.

5. SMS Communications

Vantage sends transactional SMS messages to hotel guests through Twilio when their vehicle is parked or ready for retrieval. We do not send marketing or promotional text messages.

Types of messages sent:

• Welcome / ticket confirmation: sent once when the guest's vehicle is parked, containing a secure tracking link.
• Vehicle ready notification: sent once when the valet attendant has retrieved the vehicle and brought it to the front for the guest.

How consent is collected: Phone numbers are collected verbally at the valet stand at the moment a guest hands over their vehicle. The valet attendant enters the number on a tablet alongside an opt-in disclosure shown to the guest. Providing a phone number constitutes consent to receive these transactional messages.

Message frequency: Frequency varies. Guests typically receive two messages per parking ticket (one welcome, one when the vehicle is retrieved).

Opt-out: Reply STOP to any message to unsubscribe immediately. Reply HELP for assistance. You can also email [email protected] to be removed from all SMS communication.

Carrier charges: Standard message and data rates may apply, depending on your mobile plan.

Sharing: Phone numbers are shared with Twilio solely to deliver the SMS. We do not sell, rent, or share guest phone numbers with any third party for marketing purposes, and we do not use them for our own marketing.

6. Data Retention

Vehicle photos: Automatically deleted after 7 days.

Ticket and operational data: Retained for the duration of the Customer's active subscription.

Account data: Upon cancellation, data is available for export for 30 days. After this period, account data is permanently deleted upon request. Contact [email protected] to request deletion.

7. Cookies

Session cookies: We use session cookies for authentication (keeping you logged in). These are essential for the service to function.

No advertising trackers: We do not use any advertising cookies, tracking pixels, or third-party analytics trackers.

Payment processor cookies: Paddle may set cookies for payment security and fraud prevention during checkout.

8. Security

We implement industry-standard security measures to protect your data:

• TLS encryption for all data in transit
• bcrypt password hashing
• JWT token-based authentication
• Role-based access control (Owner, General Manager, Valet Manager, Attendant)
• Complete audit trail for all actions
• Property-level data isolation

9. Children's Privacy

The Vantage service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child under 18 has provided us with personal information, we will take steps to delete that information.

10. Your Rights (CCPA / GDPR)

Depending on your location, you may have the following rights regarding your personal data:

• Right to access: Request a copy of the personal data we hold about you.
• Right to deletion: Request that we delete your personal data.
• Right to correction: Request correction of inaccurate personal data.
• Right to data portability: Request your data in a machine-readable format.
• Right to opt out: We do not sell personal data, but you may contact us with any concerns.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or through the platform. The "Effective" date at the top of this page indicates when the policy was last revised.
